Frequently asked questions

A.I. assistant

Yes, simply register for a trial account and you can try the service on one proposal for free.

Not if you’re a researcher. Login credentials are strictly personal, unless you hold a Research Manager License. In that case, credentials may be shared among support staff at the same institution, but not with researchers.

Only if you hold a Research Manager License, and only for researchers employed at the same university or institution as you. All other licenses are for personal use only, and you may only upload proposals where you are the main applicant.

Your proposal is only used to provide you with feedback. It is not shared with others, published, or reused for any other purpose. We treat all submissions as confidential academic documents.

Currently our service uses OpenAI for analyses of your proposal. We store your uploaded documents on our server only until they are successfully uploaded to the OpenAI server (mostly in a few seconds). Your proposal stays on the OpenAI server only for the duration of your session: when you download your conversation with our A.I. or if you close the browser tab, all uploaded proposals are deleted.

No, we have access to very many real research proposals that have already been evaluated by expert reviewers to train our models. We do not train them on user-uploaded proposals or supplementary files.

Your proposal is sent to OpenAI’s models via API. According to OpenAI’s policy, data sent via the API is not used to train their models and is automatically deleted after processing.

Only genuine academic research proposals that you are submitting for real grant or funding opportunities. They can be in the (early) draft stage, but you may not upload drafts filled with fictitious content.

No. The system may only be used by humans. Using scripts, bots, or any automated systems to interact with the chatbot, upload proposals, or extract feedback is not allowed.

Minor outages or updates may occur without notice. We do not offer refunds for short service interruptions but please drop us an email in you experience interruption in the service.

A.I. registration and payment

This means you’ve already started registration in the past, even if you didn’t complete payment. Please go to our login page and log in using your existing credentials. If you forgot your password, you can reset it here. Once logged in, you can complete your registration or choose a new license.

You just need to log in with your existing account. You cannot sign up again using the same email, but you can purchase a Basic, Premium, or Research Manager license after logging in.

No. Free trials are strictly limited to one per individual, and registering with multiple emails to gain additional access is considered misuse.

Once you click “Register,” your account is created. If you didn’t finish payment, your account still exists — you just need to log in to complete the process. If you don’t remember your password you can reset it.

That depends on your location and whether you’re purchasing as an individual or on behalf of a university:
* Dutch users (individual or institutional): Always pay 21% VAT.
* EU institutions with a valid VAT number: reverse charge applies (no VAT is added at checkout).
* EU individuals or institutions without a valid VAT number: 21% VAT is added.
* Non-EU users (individuals or institutions): No VAT is charged.

Select the country where you are based from the drop-down list on the checkout form. If you’re based in the EU and making an institutional purchase, check the box “I have a VAT number” during checkout. A field will appear for you to enter your number. If it’s valid, VAT will not be added to the total.

Yes, of course. Please enter your institution’s name, address, and VAT number during checkout. If your confirmation email does not contain the required information please contact us for a copy or updated invoice.

Workshops

Yes, that is possible but we recommend workshops where participants meet in person.

We select research proposals based on workshop participants. If participants are all from the field of, say, organic chemistry, we will select organic chemistry proposals. If the participants are from various disciplines, we will select proposals from various disciplines.

We have two kinds of workshops: one is most suitable for early-career researchers (PhD students close to finishing their theses, postdocs, assistant professors) but also more senior researchers have told us the workshop was very rewarding. The other workshop is for pre-award research support staff who want to better support their researchers.

If you are the organizer and need to cancel the entire workshop, that is possible but read our terms and conditions for the terms that apply.
If you are a workshop participant and cannot attend, a colleague may attend in your place. Please notify the organizer as early as possible.

Proposal development

That’s flexible as we try to adjust to your needs, but generally we both read your (draft) proposal, any feedback on previous versions you may have got, we give some comments and schedule a video meeting to discuss. After that you get at least one round of more in-depth comments and suggestions.

We’ll do our best to accommodate rescheduling. Even on short notice we mostly find a suitable replacement time, though we can’t guarantee that.

Other questions

All proposal materials and user information are treated as strictly confidential. We never share, publish, or reuse your content. See our full terms and conditions for more details.
